How do QR codes work with edited submissions?

    Any time a submission is edited, that creates a new confirmation and QR code for the guest. However, their old QR code does not become 'invalid' - this means that they can show the first QR code they received when submitting the registration, or the QR code they received after editing the submission, and both will work and they will be able to check-in. 

    Additionally, you can also consider completely disabling QR codes from the confirmation emails, and once the registrations have been collected you can send the QR codes to your guests via the email section of the platform.

    Yes, I have noticed that.  Even after I update members' email addresses and delete the old email addresses on the RSVPify platform, the old codes still remain and are exported with all the new ones.  Is there any way to avoid that?

    When a guest edits their registration and receives a new QR code, the updated code is typically the one that should be used for check-in. The old QR code may no longer be valid, depending on how the event platform handles registration updates, so it is best to encourage guests to use the most recent confirmation email or QR code they receive.

    To avoid confusion, you can include a note in your event communications reminding guests to bring their latest QR code after making any changes to their registration. Disabling submission editing is usually not necessary unless you expect frequent changes or want to keep registrations locked after submission.

    A good approach is to allow edits, but clearly communicate that any updated registration will generate a new QR code and that only the latest version should be used at the event.

    Hi everyone, jumping back in here since there is a bit of outdated information in the most recent comment that I want to correct for anyone reading this thread.

    To confirm our original answer still stands. When a guest edits their registration, they do receive a new QR code, but their original QR code does not become invalid. 

    Herohand Ventures, to manually send QR codes through the email section, head to your Email Communications area in the platform and create a new campaign. When building that email, you can insert the QR code merge tag into the body, which will pull in each guest's personal QR code automatically when the email sends. That way you can hold off on including QR codes in your confirmation emails and send them separately whenever you are ready.

    Cynthia, thank you for flagging that export behavior, since each edit generates a new QR code without deleting the previous one, older codes can still appear in your exports even after you have updated a guest's information. I do not want to guess at the exact export logic here, so I would recommend reaching out to our live support team directly with your event link so they can take a closer look at your export and see if there is a way to clean that up for you.
